An office move is a business project, and it needs a plan. The aim is simple: your team should leave the old office at the end of one working period, and begin work at the new office at the start of the next one.
Start four to six weeks early
- Appoint one person as the coordinator for the move.
- Choose the date, preferably a weekend or a holiday.
- Inform your landlord, building management and the new building about the date and ask about permissions, lift booking and deposits.
- Get quotes from movers, and share the number of seats, the type of furniture and the floors.
Prepare the seating plan
Make a plan of the new office, with a number for each workstation. Give each employee a number and a few cartons, and ask them to label their items with the number.
IT equipment and data
- Take full backups, and keep them safe.
- Ask your IT team to shut down and disconnect servers, switches and routers.
- Label cables and devices, and photograph the connections.
- Arrange new internet and phone lines at the new office well before the move.
Files, furniture and pantry
Pack files in numbered cartons, and ask staff to clear their desks. Furniture such as cabinets and workstations is dismantled and labelled. Pantry items and decor are packed separately.
On the move day
- The coordinator supervises, with a copy of the plan and the list of items.
- Packed items are loaded in the planned order, and unloaded at the matching places in the new office.
- Furniture is refitted first, followed by IT equipment.
The first working day
Keep your IT team available early on the first day, to reconnect and test the systems. Keep a list of problems, and have the movers or the facility team fix any damaged or misplaced item quickly.
